JOB POSITION:

Accounts Payable Specialist

DESCRIPTION:

Gaines and Company, a well established construction company is seeking a F/T Accounts Payable Specialist in our Reisterstown, MD office.

RESPONSIBILITIES:

  • Process and pay invoices in a timely fashion and actively review vendor payment history to ensure duplicate payments are not made
  • Review and upload AP invoices into the company financial database.
  • Match supporting documentation to AP checks.
  • Process and mail AP checks on a weekly basis.
  • Communicate with vendors and colleagues regarding payments, tracking, and resolution of discrepancies on vendor statements.
  • Track Form W-9 for each vendor and produce Form 1099 at year end.
  • Assist in year-end audit preparation and record-keeping.
  • All other financial and administrative duties as assigned, including using personal vehicle to make bank deposits on a weekly basis.

QUALIFICATIONS:

  • Minimum 3 years’ experience in accounts payable required, preferably in the construction industry. Knowledge of AIA invoices and retainage helpful.
  • Attention to detail with proven ability to accurately process a large volume of transactions in a timely manner.
  • Strong organizational skills.
  • Ability to prioritize and multi-task.
  • Willingness to take initiative to solve problems.
  • Team player with a positive attitude.
  • Good communication skills (written and verbal).
  • Physical ability to occasionally handle some lifting of office supplies, such as receiving/moving deliveries.
